St Paul’s Seniors – Privacy Statement

Last updated: Sep 30, 2026

About this statement

St Paul’s Seniors respects your privacy. This statement explains what information we receive when you accept an invitation to our shared SharePoint site, and exactly how that information is used.

In short: we do not sell your information, we do not share it with any third-party services, and we only see what you do inside our SharePoint site.

Information we receive

When you accept our invitation, Microsoft shares the following basic profile details with us:

  • Your name
  • Your email address
  • Your profile photo, if you have one

When you sign in, Microsoft also records standard sign-in details for security purposes, such as the date and time, your approximate location, and the type of browser or device used. These records help protect your account and our site from unauthorised access.

What activity is recorded

Your guest account is used only to record activity that takes place within the St Paul’s Seniors SharePoint site. This includes actions such as:

  • Opening or viewing a file
  • Uploading a file
  • Editing or renaming a file
  • Deleting a file

We do not track, monitor, or have any access to anything you do on your personal computer, phone, or tablet. We cannot see your personal files, emails, browsing history, or any other websites or apps you use. Once you leave our SharePoint site, nothing you do is visible to us.

How your information is used

We use your information solely to give you access to our shared files, to keep the site secure, and to understand how shared files are being managed.

Our commitments to you:

  • We never sell your information. Not to anyone, for any reason.
  • We do not share your information with third-party services. It is not used for advertising, marketing, or any purpose outside St Paul’s Seniors.
  • Your information stays within our Microsoft 365 environment. Microsoft hosts the service on our behalf and handles data under its own privacy commitments; it is not passed on to anyone else by us.

How long we keep your account

We keep your guest account only for as long as it is needed. If you do not sign in to your guest account for a period of 180 days, the account will be automatically and permanently deleted from our system, and your profile details will be removed from our directory along with it.

If your account is deleted, you will no longer have access to our SharePoint site. You are welcome to be invited again at any time.

Your choices

You may ask us at any time to remove your guest account. Once removed, you will no longer have access to our SharePoint site and your profile details will be deleted from our directory.

You can also review or withdraw the permissions you granted at any time by visiting myaccount.microsoft.com/organizations.
